"Ways to save your business money"

Ways to save your business money (continue)
Today we are going to pick up where we left off in the March 2013
News Letter. Before we do however let's recap last Tips.
1. Remote Assistance instead of on-site support
2. Automated reporting and maintenance systems
3. VoIP
4. Review your internet and ADSL accounts
5. Internet connectivity redundancy
May's Tips.
6. Reduction of Internet access to limit abuse and increase productivity– With access to social media such as Twitter, Facebook and others the time lost by a company due to their employees abusing the corporate network to communicate, upload files or to arrange outings in their personal capacity results into a huge financial loss to companies. By limiting this access a company can increase productivity by 30 – 45%. Furthermore because of the reduction in Internet traffic the rest of the corporate network also sees a notable increase in speed.
7. Printer Management – not every employee in a company needs to print in colour. By limiting the default settings of the printer a company can save money on running expenses. Further to this by enabling tracking on the printer a company can pull reports on which department and which user prints in colour and also the volumes printed in colour. By limiting the access to colour printing or enabling reports discourages users to print irrelevant documents.
8. Utilizing devices to their full potential – most devices today have multiple functions. For example: a multifunction printer can have the ability to fax via the network or to have faxes sent directly to an individual’s email box. By utilizing these features a company can save on toner/ink and on paper. Further to not having the faxes printed at the
office, the person responsible for this can have access to that feature as long as they have access to their email. This is only one example however. There is a number of ways to maximize utilization of computer equipment in the workplace.
9. Consider the warranty of the products you purchase – more often than what I care to report I have arrived at a client that reports to me that a computer has just broken down. After exhausting all troubleshooting techniques it is established that the device has either a dead component or that the entire machine is
dead. This problem can easily be resolved with a relevant warranty claim. However more often than not it was never purchased or it is just outside of the standard warranty cover.
Most reputable brands such as Dell, HP and others allows you to purchase an additional warranty on their products which covers you in the event of a failure up to 3 years. As an added benefit they also offer onsite warranty claims as well as 4 hour response and next business day response.
This ensures that the problem is fixed in the comfort of your home or office and also increases the standard warranty to a 2 or 3 year warranty.
10. Moving to hosted services instead of onsite servers – a lot of companies are burdened with extreme IT equipment and licensing costs. Many SME’s are faced having to make a choice between technology that will benefit their business such as Lync, Exchange and SharePoint. Not only are these technologies expensive to purchase licensing of these products can escalate to R 100 000 or more for a company employing between 50 and 150 users.
Keep in mind that most Microsoft products have CALs (Client Access License) you need to purchase in order for you to use the software legally, every user requires a license for every product that is installed and available to the user.
By moving to a hosted solution you pay a monthly rental and you no longer to purchase a license for every product you use or have access to. You will only have to purchase a license for every user on your network for what is available on your local network. In this way a hosted solution often saves SME companies a lot of money while ensuring that the administrative burden is also shifted from the SME to the service provider.
NerdLab can assist in all the above and many other ways to increase productivity and reduce costs.
